Invoices, production and their own CRM

An invoice takes seconds instead of 10–15 minutes.

What we built

5 systems
1

Invoices in Merit Aktiva

Orders, invoices and production
CRMMerit Aktiva
Before

Client data, registry codes and product lines were typed in by hand.

What we built

When an order reaches "awaiting invoice", the invoice is created with data from the Business Register and the right reference number.

Now

Invoices are made in seconds and go out on time.

2

Production cards

Orders, invoices and production
CRMSharePoint
Before

Production was tracked from memory, and design files sat in emails.

What we built

A card for each product with its deadline and print method. Design files are saved to SharePoint, and invoicing starts when the last product is done.

Now

Nothing gets forgotten.

3

Quotes and costing in one place

Quotes, tenders and budgets
CRMCatalogue
Before

Costs were calculated in spreadsheets and quotes were made in another tool.

What we built

Costing and the quote are built in one place, from the product catalogue.

Now

A quote takes one click instead of an hour.

4

Their own CRM, dashboard and AI assistant

Orders, invoices and production
Custom CRMClaude
Before

Sales lived in Trello, and payments were checked by hand.

What we built

A CRM built for them and a live dashboard. Paid invoices move to "paid" by themselves, and an assistant can move deals between stages.

Now

The dashboard is running. The CRM is being built.

5

Digital roadmap and grant

Websites, enquiries and roadmaps
EIS
Before

A plan was needed to apply for funding.

What we built

A digital roadmap and the application for an implementation grant.

Now

Application submitted.

I wanted to scale my business, but I felt like I was the bottleneck. Too many manual tasks, no clear overview. Alopex helped me build systems that actually run without me.
